General Job Specification for All Balloon Administrators

 

Job Title

Administrator

Salary/Hours

Competitive rate of pay. 20 to 40 hours per week during term time; reduced hours out of term time, amounting to 40 weeks per year.

Role and Context

 

Job Purpose

a) to act as secretary to the Red Balloon Management;

b) to manage Red Balloon accounts;

c) to provide administrative support for the Centre.

Context

The aim of the Learner Centre is the recovery of bullied children. The means by which this is done is by enhancing students' self-esteem, encouraging them to make decisions and gradually take control of their own learning to build their self-confidence, helping them to understand themselves and others, and providing a safe environment. It is important that the job holder concur with this aim.

Dimensions

Red Balloons offer places to a maximum of 15 students, and have a full-time staff equivalent of roughly 8.

Relationships

Works closely with the Coordinator and with all staff, students, parents/carers, volunteers and visitors to the Centre, and is a participating member of the Red Balloon Community.

Other Job Information

Red Balloon and the Trustees will be accountable for all working arrangements and welfare provision.

 


 

Principal Accountabilities

1) To take responsibility for the day-to-day administration of the Centre, and to provide administrative and secretarial support for the Coordinator and the staff. This will include:

a)    as secretary to management:

i.       keeping the CoordinatorŐs diary and reminding her and other people of relevant dates/times;

ii.     maintaining a database;

iii.    dealing with correspondence;

iv.    drafting and word-processing documents;

v.      notifying relevant staff when a student is absent;

vi.    liaising with the administrator of the Group Office;

b)    accountancy:

i.       keeping records of school income and expenditure (accounts)

ii.     keeping track of bank accounts;

iii.    sending out invoices;

iv.    paying bills;

v.      paying staff;

c)    administration:

i.       preparing and handling incoming and outgoing e-mails and faxes;

ii.     photocopying, filing, maintaining data bases

iii.    updating records required for the ChildrenŐs Services, DfE and Ofsted;

iv.    instigating CRB checks on new staff and volunteers;

v.      sourcing and ordering resources and materials;

vi.   if appropriate, carrying out the administration associated with examination entries.

2) To be the first point of contact for parents/carers, contractors, professionals and the public, which will include:

-           taking detailed and accurate telephone messages, passing on information, as required;

-             proactively making calls as required;

-             maintaining an appropriate and professional telephone manner;

-             being aware of the need for confidentiality, tact and sensitivity.

Person Specification

Qualifications

á     A further education qualification is desirable

á     A financial management qualification would be an advantage

á     Shows evidence of being suitable for working with children

Skills/Knowledge

á     Computer literacy – typing, knowledge of Word and Excel

á     Financial management skills

Experience

á        Of working in an administrative capacity

á        Of managing accounts

á        Of ordering supplies and dealing with suppliers

á        Of drafting letters
